THE ASK
For this event, our team rose to the challenge of a tight deadline, using our efficiency and expertise, to craft a comprehensive request for proposal in a single week. This proposal included essential floor plans and detailed 3D renderings of the plenary space for the annual meeting of the Society for NeuroOncology (SNO) at the Vancouver Convention Centre. After being selected as the audiovisual partner, we encountered specific requirements outlined by the client.
Tasked with collaborating alongside Allied Production Group, headquartered in Atlanta, our mission was to align with the client’s vision, ensuring the best possible experience for the 2600 attendees while adhering to the provided budget. ProShow’s primary emphasis was on ensuring the visibility and audibility of the content throughout the five-day conference from every corner of the room, given the important topics being shared.
Considering the substantial volume of information shared over the five-day period, it was crucial that ProShow’s execution remained seamless to guarantee the uninterrupted flow of information throughout the event.
THE SOLUTION
An important part of our solution to ensure the seamless running of the meetings involved providing transparent support to our client. Transparency played a crucial role in aligning each stage of the process with the budget, vision, and specific requirements across all rooms. To accommodate and provide an unmatched experience for the vast number of attendees in the plenary, we strategically placed two 12’x26’ projection screens flanking the stage, and two 9’x16’ projection screens positioned in the mid-section to ensure optimal visibility from every seat. In addition to the screens, we provided a custom designed audio system using MINA & LINA line arrays supported with Meyer UJP fills to provide even audio coverage throughout Ex hall C. Through close collaboration with Allied Production, we crafted a captivating scenic backdrop that not only caught the eye but also added depth and sophistication to the overall stage setup.
THE OUTCOME
The client expressed appreciation for Proshow’s attention to detail, provided by our onsite staff—ranging from drapes and cabling to identifying errors in slide decks and swiftly resolving scheduling conflicts. A particularly notable client quote underscored their initial skepticism regarding the use of an in-house AV team, but they acknowledged that ProShow had successfully shifted their perspective. The client quoted, “Initially, we weren’t very confident in using an in-house AV team, but ProShow definitely changed our perspective. Their structure, accountability, and communication made the world of a difference between an AV partner that’s doing their job and one that wants to see your event succeed.” Our technicians not only flawlessly executed tasks but also proactively addressed issues, foreseeing potential dilemmas, and contributing to a successful annual meeting.
